Position:                              Personal Assistant to the Ambassador

Type of employment:       Full time permanent employment on a local contract

The Permanent Delegation of Denmark to the OECD is seeking to recruit a positive, dynamic, multi-skilled and flexible PA to the Ambassador. Candidates must demonstrate a high level of self-motivation and initiative. 

The PA is responsible for the secretary functions in the unit. You are, however, expected to show the flexibility required for an optimal handling of the portfolio of the delegation and thus be ready to contribute to handling tasks outside of your own portfolio.

Main tasks and responsibilities

Secretary tasks
• Managing the Ambassador’s calendar, including organisation and coordination of meetings
• Travel organisation for the Ambassador and the Deputy Permanent Representative
• Preparing programs for official visits and planning the logistics
• Responsible for the delegations web-site and SoMe activities
• Preparation of the official representation
• Coordination of invitations, publications etc…
• Miscellaneous tasks e.g. translations and other secretarial responsibilities.

Administrative tasks
• Handling of various expenses due to travelling and representation
• Coordination of the recruitment of interns and administrative formalities concerning interns
• Coordination of strategic processes as internal surveys and other…
• Updating contact- and mailing lists
• Absence registration
• Purchase
• Replacement in case of absence. This can occasionally take place at the bilateral embassy located in the same building

Required qualifications
• Relevant work experience including a structured mind-set and excellent planning and coordination skills
• Proficient in one of the Scandinavian languages
• Fluent English and French, speaking, reading and writing
• Good IT skills including Microsoft Office
• Ability to work independently and efficiently
• A good team player

Employment conditions
• The current position is a permanent employment on a local contract based on the relevant French labour law.
• Working hours are 37 hours per week, with some of flexibility in organizing the daily working hours 
• Holiday: 5 weeks of paid holiday per year.
• Salary according to qualifications and relevant experience.
